New archive user wizard

We know the impact that a staff departure has on your organization. To make the Omnant part of this event easier, we have developed a wizard to guide you through archiving a user.

The wizard will check if the user has outstanding reports, lab tests, and more to help you have them complete them, and/or transfer items to another member of the team.

FAQs

  • How do I find the archive user wizard? 
  1. Click Users > Search in the left navigation
  2. Search for the user you want to archive, then click on their name
  3. Scroll to the bottom, and click the Archive button on the left
  • What does the wizard guide me through? 
    • Adding an employment end date to the user's profile
    • Checking if there are any saved or rejected field reports
    • Checking if there are any past scheduled assignments that require a report and don't have one started
    • Checking if there are any lab samples that are not marked as tested
    • Checking to see if this user is scheduled for any future dispatches or time off
    • Transferring projects to a different project manager if applicable
    • Transferring distribution records
    • Transferring reports, lab samples, and assignments to another user

  • Is archiving immediate?
    Yes, the user will go from active to archived immediately after completing this process. This user will not be assignable effective immediately.

  • Will the archived user be removed from future dispatches?
    If the archived user has been scheduled for a dispatch in the future, they will be removed from the dispatch upon archiving.

  • Can I undo this process?
    No, the assignments are transferred immediately upon completing this process. The wizard is designed for the scenario that the archived user is leaving the organization and no longer needs access to Omnant, and their work will be handed off to someone else if not complete.

  • What if I'm not sure who I should transfer something to?
    You will need to have an active user identified to transfer the archived user's items to. 

  • Can I change who I transferred something to?
    Yes, you can go to that item individually and change the assignee if needed.

  • What else should I check? The wizard does not review if the archived user has outstanding expense reports or timesheets, or assigned equipment.

Feature update: Autosave is here!

We've been working on implementing your feedback about adding an autosave. Omnant now supports autosave for field reports!

Now when you are working on completing the narrative for a field report or adding an attachment, your work will be saved automatically.

How will I know if autosave is "doing its thing"?

  • You may notice a green popup in the top right corner when you have been idle for a short period of time.
  • You may notice that the save button goes from yellow to gray automatically.

Your progress writing field reports will be automatically saved at regular intervals on:

  • Create Field Report page where you can enter Summary Details, Additional Information and Report Details (narrative)
  • The Attachments tab of a field report where you add attachments (e.g. reports, images, etc.)

Please note, that autosave is not currently active at this time on the input / data entry window for attachments (i.e. entering field data on an attachment). However, once you close the attachment window, the next autosave will include this new or updated attachment.

Log into Omnant to enjoy a more seamless and convenient field report writing experience!

Feature update: Add photos to break reports

Based on feedback we've received, we'd like to share with you an optional add-on feature which enables you to offer clients photos as part of their break reports.

We hope this enhancement can help you provide clearer, more informative reports to your clients.

Adding clients to a distribution is even easier!


We’re excited to announce a time-saving update: you can now add contacts to a distribution list directly in the send window when sending a report!

No more navigating to a separate distribution screen or missing out on key recipients -- simply add the contacts right where you send the report.

Look for the Add button on the Distribute Report screen, or see it in action with a 30 second video overview.

Field Report workflow update: prompting users to complete a dispatch

We’re excited to announce a workflow update: Omnant will prompt users to complete a dispatch upon report submission and/or approval.

  • Technicians will be prompted to complete the associated dispatch (if not already) upon submitting their field report. The technician will have the choice to do so, and can still submit their reports if the dispatch is not ready to be completed. If the technician does not have the correct permissions to complete a dispatch, then they will not be prompted to do so.
  • Approvers will be prompted to complete the associated dispatch (if not already) upon report approval. This will allow the approver to not be blocked or have to change pages in order to finish approving the report.

We believe this enhancement will help dispatches be completed regularly, and reduce the system navigation required to do so.

Improved: PDF Sketch Cropping

We have addressed the issue that, when you are cropping a PDF attached to a field report, your annotations were not "sticking".

Check it out yourself: 

  1. Go into a field report that needs an PDF or create report to start the process
  2. Once you are working with the report, switch to the "Attachments" tab
  3. Add a new PDF attachment
  4. Once the window for entry screen shows, select a PDF file to use, for example, a drawing for the project 
  5. Above the file selection, you will now see an icon that allows you to annotate the PDF
  6. Click on this icon, and once the editor loads you can work with various annotations of which one is the cropping tool
  7. Once you are done working with the annotations and have cropped the drawing, click the save button in the upper right corner. 
  8. When you reopen the PDF, your annotations will appear as expected.
